Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This agreement outlines the specific terms, conditions, insurance coverage, charges, and your obligations for the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle requires:
- To hire a vehicle from Spalding, you must be at least 21 years old, though age restrictions may differ based on the vehicle type, with extra fees applicable for drivers under 25. A valid full driving licence for the vehicle category is required, held for the duration stated in the Rental Agreement. You must present valid identification and proof of your current address, along with valid payment details and a security deposit. Additional requirements may be outlined in the Rental Agreement.
Booking and Payment Process
- You can make reservations via our website, over the phone, or by visiting our Dartford office. A booking deposit may be necessary to confirm your reservation. The total payment and security deposit are usually required at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, with transactions securely processed through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is your responsibility to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be generated and must be signed by you. When returning the vehicle, it should be in the same condition as when it was collected, barring normal wear and tear. Any new damage will be evaluated and may incur additional charges. It is also necessary to return the vehicle with the same fuel level as at pickup; otherwise, refueling fees will apply. If you anticipate returning the vehicle late, please inform us as soon as possible, as late returns may result in extra charges. You will be liable for any parking fines, traffic violations, or other charges that arise during the rental, along with an administration fee.
Insurance and Liability Terms
- All rentals include basic third-party insurance. You can find full coverage details and excess amounts outlined in your Rental Agreement. Additional insurance options may be offered to lower your financial responsibility. It is beneficial to review these options thoroughly. You will remain liable for damage or loss up to the insurance excess, unless you opt for additional coverage. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice given. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur additional charges.
7. Restricted Activities
Prohibited Uses of the Vehicle
- The vehicle must not be used for any illegal activities or purposes. This includes racing, rallying, off-roading, or any other dangerous maneuvers. Transporting hazardous materials is prohibited. Sub-letting the vehicle or allowing unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. Additionally, the vehicle should not be used for purposes it was not intended for, nor should passenger or weight limits be exceeded. Driving outside the agreed geographical boundaries requires prior approval.
Breach of these terms may lead to rental termination and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Spalding Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims is limited to the amount you paid for the rental in the last 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
9. Applicable Law
These Terms are regulated by the laws of England and Wales. Any disputes will fall under the exclusive jurisdiction of the courts in these regions.
Terms Updates
We reserve the right to amend these Terms at any time. Updates take effect immediately upon being posted on our website. Continued use of our services indicates acceptance of the revised Terms.
